The privacy and security of your scan attendance and details you provide to Imagine Baby is an essential component of our quality of service to you.
Imagine Baby is registered with the Information Commissioners Office (ICO).
Our staff group adhere to Confidentiality Policies which are governed by Professional Organisations – Health and Care Professions Council (HCPC) and Society of Radiographers (SOR).
Your scan attendance will remain confidential unless you give us explicit consent to share your scan report with your named NHS provider and Health Professional, if we suggest a second opinion following your scan.
The service will ask for personal information to book your appointment and ensure you attend for the correct examination, gain your consent prior to the scan, provide a written report for you following your scan attendance, and as mentioned above share your information with your health professional, only with your consent.

Information regarding your pregnancy will be asked which will include reasons why you are attending for the scan to ensure the correct examination is booked, and the stage in your pregnancy, again to ensure the correct exam is booked. If concerns are raised with your pregnancy in the booking process, we may advise you to seek advice from your NHS provider/healthcare professional

Printed scan images and USB sticks contain identifiable information - please inform your sonographer if you wish the identifiable information be removed from the above.
The above information may be identifiable and may allow you to be directly or indirectly identified, therefore, we must store your data securely and store the minimum data required.

You may view the webpage without providing personal data and contact Imagine Baby directly by phone or e-mail if you do not wish to enter details on the webpage.
Any personal information you share with us on the webpage or phone will be utilised to process your appointment.

The required data you share with Imagine Baby will be electronically stored on our internal system and password protected with limited access.
Imagine Baby receives administrative support from a data hosting provider to ensure your details are kept safe and secure. The provider has years of experience keeping data safe. The nominated servers hosted by one of the largest hosting providers in Europe. All data is kept virtually secure through a network that offers protection from cyber threats, data loss, and 24/7 physical site security.
All hard copy consent forms and reports will be scanned onto the internal system electronically and then subsequently shredded.
All electronic files will be stored for legal time limits and then deleted.
All e-mail correspondence will be subsequently deleted.
Your details will not be used in any way as to which you have not consented.
Your payment information will not be stored on our systems.

By contacting Imagine Baby you can request a copy of any data held on file about you and your attendance at Imagine Baby - proof of identity will be required to release this data.
Please note Imagine Baby will never process your data without your consent.
You may ask that certain aspects of your data set are deleted, providing the service does not have a legal requirement to store the data. GDPR allows information to be shared if there is a lawful basis to do this, such as SAFEGUARDING, law enforcement requests, prior to legal proceedings. This information sharing must be shared only with those individuals who need to know, governed with the key principals - is the sharing necessary, proportionate, relevant, accurate, timely and shared securely.
